You’re probably aware that Microsoft has been busy releasing updates to Office 365, and there are some exciting new features to play with. But did you know that running these newer versions could get you banned from certain corporate networks? The problem comes down to security: firms like SAP and Oracle require users access their systems through a VPN. These networks typically only allow authorized clients and users, and because VPNs protect against unauthorized access, they can kick out any rogue data packets — including those coming from unlicensed copies of the latest Office suite. This is because hackers often leave digital fingerprints on the code for their malicious software by embedding it into licensed software such as Office (for example, by telemetry or other software analytics). A SAP company genuinely concerned about security has more than enough reason to ban users from accessing their systems with an unlicensed copy of Office. So, what value is the cloud if you can’t use your software on a network? Microsoft is aware of these issues and has flagged Office 365 ProPlus as “not currently recommended for enterprise deployment” on their website: http://blogs.office.com/2015/01/12/enterprise-deployment-of-office-365-proplus/. None of this means that you can’t use the new software, just that Microsoft provides no guarantees of performance or suitability on your corporate network. The same goes for using Office 2016: I’m sure you’ve seen the new ‘Ribbon’ interface and fancy animations, but you could easily find yourself locked out of your system if it detects Office 2016 instead of the ProPlus version. Enterprise-scale system administrators who like to maintain control over their network can turn off updates completely. It should be pretty clear that none of this talk affects you unless your company is running SAP or Oracle software — and even then, there might be a way around it depending on how locked down your network is. If this applies to you, we suggest politely declining the upgrade until your IT team makes some changes or releases a new whitelist policy. The good news is that there are several tools for stripping unwanted updates from Office. We’ll be discussing these in our next article, but if you’re having issues today, you can download KMSpico (linked below) and try it out. Before we get to the software, however, here's a short introduction to the problem: what is a VPN? A virtual private network (VPN) creates an encrypted tunnel between your machine and a remote server. The network itself looks like what you see when logging into your usual Windows PC or work laptop — just with extra encryption behind the scenes that makes it seem like it’s coming from your local system. This means your data is more secure. Hackers can’t see it and can’t track your location. And if the encryption is strong enough, it makes it impossible to crack — so there’s nothing on either side of the tunnel that can be intercepted. The VPN allows you to create connections to other networks and access resources like Microsoft Office 365 and Google Drive (and many more) by creating a tunnel of secure encrypted communications. This allows users to access services that might not normally be accessible from their home or work PC, such as Google Docs, Microsoft Office 365 and Dropbox.
